The following discussion occurred relating to Work Plan Item 10 regarding scanned documents:
~ The group will move forward on this item.
~ Documents were scanned on a library archive system, but they are not yet available to the public, which is a goal.
~ The Oro Valley Historical Society is also working on this project. Ms. Dellerman will check on their progress.
Chair Guyer acknowledged Oro Valley Historical Society Member Lois Nagy.
Resident Lois Nagy clarified that the software used for the scanned documents is "Past Perfect". The Oro Valley Historical Society has the software and the Steam Pump Ranch collection was scanned and copies of the documents and photos are in archival folders in the Town Clerk's office. The photographs have few captions and it is difficult to identify people in the pictures.
Commissioner Hannon stated that the documents and pictures need to be converted into a common format such as jpg. Ms. Dellerman will look into this issue.
Chair Guyer stated that Work Plan Item 1 will be problematic until the commission is at full membership. Item 4 may be on a future agenda.
Chair Guyer reported that an individual was selected for appointment and this item will be on the May 2013 Town Council Meeting agenda.
Ms. Dellerman indicated that there needs to be a plan moving forward for furniture displays.

Ms. Dellerman suggested that the Oro Valley Historical Society and Oro Valley Historic Preservation Commission members be present at the Settler's Day event to provide information to the public. There will not be tours at this event, but she will be promoting the "Second Saturdays" events, which have been successful.
Ms. Dellerman reported that the Arizona Department of Transportation requested new entries. The gate has been realigned and the entrance continues to be off Oracle Road. The exit is behind the Bagggin's. Signage will guide people to the exit.
Ms. Dellerman stated that there will be guest speakers and a petting zoo. There were in-kind donations accepted. The commissioners are welcome to attend and answer questions from the public.
Ms. Dellerman announced that the Farmer's Market will move to Steam Pump Ranch in October.
Ms. Dellerman indicated that there will be a half-day summer camp in July at Steam Pump Ranch that will include an archeology history program. This would add the educational component noted in the Master Plan.
Chair Guyer explained that the conference is coordinated by the state and this year it is in Mesa. She welcomed the commissioners to attend.
The next meeting will be held on Monday, May 6, 2013 at 5:00 p.m. The agenda will include:
~ Pump House cover.
~ Status of scanned pictures and documents.
A subcommittee meeting may be held before the June meeting to determine how to begin in the fall.
MOTION: A motion was made by Commissioner Hannon and seconded by Vice Chair Strandskov to adjourn the meeting at 5:44 p.m.
